The guarantee against loss is offered toward performances that would be artistically impossible without professional input, whether through the engaging of soloists, accompanying forces (whether full orchestra or other instrumental ensemble), or the professional stiffening of weaker sections of the promoting society. Excluding the accompanying forces, the ratio of amateur to (paid) professional performers should be at least 7:3 for the performance to qualify for Federation assistance.

Choirs, orchestras and musical theatre (amateur operatic) societies are invited to submit no later than 30th September each year their proposals for performances planned for the period 1st January to 30th April following; by 31st December each year for the period 1st May to 31st August following; by 30th April for the period 1st September to 31st December following (form E1). This enables specialist committees, meeting in October, January and May, to assess the level of guarantee against loss to be offered, and the number and type of performances that can be financially assisted.

If insufficient information is available at this stage, an earmarked (usually lower) offer is made. Full details of each performance are required in advance from the society as soon as these are available. The guarantee against loss is based on the music costs specifically involved for the concert, including fees to artists, accompanying instrumental ensembles, conductor or musical director, music and instrument hire, tuning, and PRS/royalties. In this context, fees do not include honoraria or general rehearsal fees paid throughout the year to the conductor and/or accompanist.

Once the level of guarantee has been agreed, a letter of offer is sent to the society as soon as possible, advising the society of the maximum financial contribution the Federation has earmarked for the performance under guarantee. Letters of offer should be formally accepted within four weeks. A claim form (R1) accompanies each offer, together with a form on which should be detailed the accompanying musicians (R1(AM)), and a Society Performance Report (SPR); all these need to be returned no later than four weeks after the performance has taken place.

Should the actual expenditure and final performance details differ from those originally estimated, the guarantee against loss payment may be reduced, but cannot be increased. As the guarantee is against loss, the final deficit may also affect the payment. In short, the more accurate the original estimate the better.

Societies are encouraged to vary the type of performance they present, particularly in respect of the size, composition and expense of the accompanying forces. The Federation has a large Lending Library of choral scores, and is happy to suggest (and receive suggestions for) repertoire. If a society wishes to apply for additional development and project funds for a performance of outstanding merit, it should notify the Federation at least a year in advance.

Gwahoddir corau SATB, cerddorfeydd a chymdeithasau theatr gerdd (opera amatur) i gyflwyno, heb fod yn hwyrach na 30ain Medi bob blwyddyn, eu cynigion ar gyfer perfformiadau a drefnwyd ar gyfer y cyfnod 1af Ionawr hyd 30ain Ebrill y flwyddyn ddilynol; erbyn 31ain Rhagfyr bob blwyddyn ar gyfer y cyfnod 1af Mai hyd 31ain Awst y flwyddyn ddilynol; erbyn 30ain Ebrill ar gyfer y cyfnod 1af Medi hyd 31ain Rhagfyr y flwyddyn ddilynol (Ffurflen E1). Mae hyn yn galluogi pwyllgorau o arbenigwyr, sy’n cyfarfod ym mis Hydref, Ionawr a Mai i asesu lefel y warant yn erbyn colled y gellir ei chynnig, a’r nifer a’r math o berfformiadau y gellir cynnig cymorth ariannol iddynt.

Os yw’r wybodaeth sydd ar gael bryd hyn yn annigonol, bydd cynnig a glustnodwyd (cynnig is, fel arfer) yn cael ei wneud. Rhaid cael manylion llawn am bob perfformiad ymlaen llaw oddi wrth y gymdeithas cyn gynted ag y bydd y rhain ar gael. Seilir y warant yn erbyn colled ar gostau penodol y gerddoriaeth sy’n ymwneud â’r cyngerdd, gan gynnwys ffioedd i artistiaid, ensemblau offerynnol sy’n cyfeilio, arweinydd neu gyfarwyddwr cerdd, llogi cerddoriaeth ac offerynnau, tiwnio a PRS/breindaliadau. Yn y cyd-destun hwn, nid yw’r ffioedd yn cynnwys honoraria neu ffioedd ymarferion cyffredinol sy’n cael eu talu drwy gydol y flwyddyn i’r arweinydd a/neu’r cyfeilydd.

Unwaith y bydd lefel y warant wedi ei chytuno, anfonir llythyr yn cynnig hyn i’r gymdeithas cyn gynted â phosibl, ac yn rhoi gwybod i’r gymdeithas beth yw uchafswm y cyfraniad ariannol a glustnodwyd gan y Ffederasiwn ar gyfer y perfformiad dan warant. Dylid anfon ateb ffurfiol yn cadarnhau’r llythyr derbyn cyn pen pedair wythnos. Anfonir ffurflen hawlio (R1) gyda phob cynnig, ynghyd â ffurflen lle y dylid rhoi manylion y cerddorion sy’n cyfeilio (R1(AM)), ac Adroddiad Perfformiad gan y Gymdeithas (APC); rhaid dychwelyd pob un o’r rhain cyn pen pedair wythnos yn dilyn y perfformiad.

Os digwydd i’r gwariant gwirioneddol a manylion y perfformiad terfynol fod yn wahanol i’r rhai a amcangyfrifwyd yn wreiddiol, mae’n bosibl y bydd y taliad sy’n warant yn erbyn colled yn cael ei leihau, ond ni ellir ei gynyddu. Gan fod y warant yn erbyn colled, gall y diffyg terfynol hefyd effeithio ar y taliad. Yn fyr, po fwyaf manwl gywir yw’r amcangyfrif gwreiddiol, gorau oll.

Anogir cymdeithasau i amrywio’r math o berfformiad a gyflwynir ganddynt, yn arbennig o safbwynt maint, cyfansoddiad a chostau’r grymoedd sy’n cyfeilio. Mae gan y Ffederasiwn Lyfrgell Fenthyg fawr o sgorau corawl, ac mae’n barod i awgrymu (a derbyn awgrymiadau am) repertoire.
